JOB SUMMARY
We're on the lookout for true leaders. The Director of Operation is responsible mainly for overseeing and managing multiple departments within the organization. The role extends beyond traditional facility management responsibilities, being responsible for the leadership and interface with our clients Community management and Owners Associations (OA) in the UAE. You will be responsible for overseeing the efficient operation and maintenance of the physical facilities within our contracts while also managing relationships with owners, tenants, and stakeholders within the community. This position requires a unique blend of technical expertise, community engagement skills, and a deep understanding of local regulations and cultural nuances.

RESPONSIBILITIES
Every day is different, but you'll mostly responsible for:

OPERATIONAL MANAGEMENT:
• Oversee day-to-day operations of both residential and commercial divisions, ensuring seamless workflow and adherence to standards.
• Implement best practices to optimize operational processes, minimize costs, and maximize efficiency.
• Monitor key performance indicators (KPIs) and implement measures to improve performance and productivity.
• Coordinate and oversee maintenance activities, including repairs, renovations, and upgrades, to ensure minimal disruption to operations.
• Manage contracts with external vendors and service providers, negotiating terms and monitoring performance to meet quality standards and budget requirements.

COMMUNITY ENGAGEMENT & OA RELATIONS:
• Act as a liaison between the organization and the Owners Association (OA), fostering positive relationships and open communication.
• Collaborate with the OA to address community concerns and implement initiatives that enhance the quality of life for residents and the Client.
• Facilitate regular meetings and forums to gather feedback, address grievances, and promote a sense of community spirit and cohesion.
• Provide regular updates and reports to owners on facility management activities, financial performance, and community engagement initiatives.
• Address owner inquiries, requests, and complaints in a timely and professional manner, demonstrating a commitment to customer satisfaction and service excellence.

STRATEGIC PLANNING:
• Develop and implement facility management strategies to optimize departmental operations and improve overall efficiency.
• Collaborate with the Chief Operating Officer to align operational management with the organization's broader goals.
• Oversee the Division Heads with their section expertise throughout the property portfolio ensuring owner and tenant satisfaction.
• Develop and implement leasing and marketing strategies to attract and retain clients.

BUDGET MANAGEMENT:
• Prepare and manage departmental budgets, ensuring cost-effective operation while maintaining high standards of service.
• Monitor expenses, identify cost-saving opportunities, and report on budget performance.

DEPARTMENTAL LEADERSHIP:
• Provide strong leadership and support the facility management team, providing guidance, training, and performance feedback to foster a culture of excellence, collaboration, and continuous improvement.
• Define and promote departmental goals, KPIs, and performance standards.
• Insure KPI’s are met.

REGULATORY COMPLAINCE:
• Ensure that all facilities meet safety and compliance standards.
• Stay informed about local laws, regulations, and guidelines related to facility management, community governance, and hospitality operations in the UAE.
• Ensure compliance with relevant regulatory requirements, obtaining necessary permits and approvals as needed, and implementing best practices for safety, security, and sustainability

VENDOR AND CONTRACT MANAGEMENT:
• Oversee relationships with external vendors and contractors, ensuring quality service delivery.
• Negotiate contracts, review vendor performance, and manage service agreements.

QUALIFICATIONS
Educational Brilliance: Holding a bachelor’s degree in hospitality management, Business Administration, or a related field is your ticket to the game, with a Master's degree shining as a beacon of excellence.
Operations Savvy: Possessing an in-depth understanding of operations in facility management and community management, preferably in the hospitality industry and within the UAE.
Leadership Wizardry: Excelling in leadership, communication, and interpersonal skills, essential for inspiring teams
and fostering connections.
Strategic Visionary: Demonstrating the ability to craft and execute strategic plans with finesse, driving operational excellence and achieving business objectives.
Financial Fluency: Proficient in financial management, budgeting, and cost control within the dynamic landscape
of the UAE, akin to mastering the ebb and flow of financial tides.
Problem-Solving Prowess: Possessing strong problem-solving and decision-making abilities, essential for navigating
the twists and turns of the fast-paced hospitality industry.
Adaptability Extraordinaire: Thriving in the whirlwind of a fast-paced, dynamic environment, embracing challenges
with gusto and grace.
Certification Charisma: Holding relevant certifications such as CHA or CMP adds an extra sparkle to your resume, showcasing your commitment to excellence in the field.
