Qualification Degree / Admin related certificate with at least 02 – 03 years’ experience in Sales admin & secretary related activities.
Job Purpose:
Administration of sales activities to support the Sales department towards best performance. Prepare documentation for analyzing and follow up.
Specific Skills
Good computer skills (ERP system, MS office), Effective Oral & written communication skills, Document control and Record maintenance skills. Managing & organizing meetings, reporting, Interpersonal skills, self-driven, data collection, extraction and analysis.
Job Responsibility
 Sales administration incl. branches and representatives.
 Preparing all related reports such as Sales, business travel, monthly sales meeting & internal meeting etc.
 Enquiry collection and entering of main data into data base and follow up with area/product managers.
 Maintain list and follow up with product and area managers on deadlines given.
 Monitor that database on all product related technical documents, catalogue’s maintained by the product managers.
 Prepare weekly sales meeting based on offers due for follow up in the related week.
 Prepare monthly order intake report, and order forecast report by region and product with area managers and CSO.
 Prepare quarterly sales meeting with comparison to Budget, order intake report, lost order report by region and product.
 Assist area and product sales managers in preparation of submittals.
 Maintain database of all product partners and regional sales partners / offices. Maintain files with all relevant contracts and agreements.
 Maintain database of all original offers and orders.
 Organize and prepare in coordination with head of sales, marketing, regional sales and product managers the newsletters, Facebook posts etc.
 Obtain travel, regional and exhibition reports from the respective product, regional sales managers and structures.
 Support in organizing exhibitions, seminars and events in coordination with marketing
 Organize exhibition follow-up postings. Assisting the sales department on their travel requirements
 Prepare travels and travel dossiers for the management and head of sales as directed.
