Key Responsibilities
1. Executive Support:
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Manage the calendar, schedule appointments, and coordinate meetings.
- Prepare and review documents, reports, and presentations.
- Draft correspondence, emails, and memos on behalf of the organization in a professional and timely manner.
2. Meeting & Event Management:
- Plan and coordinate high-level meetings, ensuring agendas, materials, and participants are prepared in advance.
- Record and distribute minutes of meetings, highlighting action points and deadlines.
- Organize events, conferences, and travel arrangements, including visas, flights, and accommodations.
3. Communication & Liaison:
- Handle all incoming and outgoing communications, ensuring accuracy and professionalism.
- Build and maintain strong relationships with clients, partners, and stakeholders
4. Administrative & Organizational Support:
- Maintain and organize confidential files, records, and correspondence.
- Monitor and prioritize tasks, ensuring the executive office meets deadlines and objectives.
- Track projects and initiatives assigned, providing status updates regularly.
- Handle sensitive and confidential information with the utmost discretion.
- Maintain and update office records, files, and databases.
5. Office Coordination:
- Assist with managing office supplies and ensuring the office runs smoothly.
- Work closely with other departments to ensure seamless coordination of activities.
- Ensure compliance with company policies, standards, and protocols
- Support the organization of office events, meetings, and workshops, Compliance and Confidentiality
6. Clerical Duties:
- Handle mail distribution and manage incoming/outgoing courier services.
- Operate office equipment such as printers, copiers, and scanners.
