We are looking for a detail-oriented and organized Document Controller to manage and control company documents, ensuring accuracy, quality, and integrity.
The Document Controller will be responsible for organizing, storing, and retrieving documents efficiently and ensuring that all documentation complies with company policies and industry regulations.
Key Responsibilities:
Manage the receipt, distribution, tracking, and archiving of all project or company documents.
Ensure documents are correctly named, categorized, and filed in accordance with internal procedures and standards.
Maintain document control logs and tracking registers to monitor document status and revisions.
Review documents for accuracy and completeness before distribution.
Ensure that the latest versions of documents are available to all stakeholders.
Handle document transmittals to clients, subcontractors, vendors, and internal teams.
Protect confidential and sensitive information by following data protection and security protocols.
Coordinate with engineers, project managers, and other departments to ensure document workflows are efficient.
Assist in audits by providing requested documentation and logs.
Maintain and update document control systems (e.g., EDMS, SharePoint, Aconex, or other platforms).
Qualifications:
Proven experience as a Document Controller or in a similar administrative/document management role.
Familiarity with document control procedures, filing systems, and industry best practices.
Proficient in Microsoft Office (Word, Excel, Outlook) and document management systems.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Ability to handle sensitive and confidential information appropriately.
Good communication and interpersonal skills.
Diploma or degree in Business Administration, Information Management, or a related field is preferred.
Experience in construction, engineering, oil & gas, or manufacturing industries is a plus.
