Key Responsibilities:
Maintain and update site records including attendance, timesheets, daily progress reports, and manpower logs.
Coordinate site office administration tasks such as filing, photocopying, and managing incoming/outgoing correspondence.
Assist with procurement of site supplies, stationery, and office materials.
Support the onboarding of new site staff, including documentation and access permissions.
Handle document control and ensure compliance with company and client documentation standards.
Liaise with head office for HR, accounts, procurement, or project coordination.
Manage inventory of site equipment and ensure proper storage and usage logs.
Organize site meetings, take minutes, and follow up on assigned actions.
Coordinate with subcontractors and suppliers for deliveries and documentation.
Assist with basic finance tasks such as petty cash handling and invoice submissions.
Ensure all administrative activities comply with HSE (Health, Safety, Environment) policies and protocols.
Qualifications & Skills:
Diploma or Bachelor’s degree in Business Administration, Management, or related field.
2–4 years of experience in a similar administrative role at a project or construction site.
Good understanding of construction or industrial site environments.
Proficiency in MS Office Suite (Word, Excel, Outlook), and document control systems.
Strong organizational and multitasking skills.
Attention to detail and ability to handle confidential information.
Good written and verbal communication skills.
Ability to work independently and support multiple site teams.
