High school diploma or equivalent; additional certification in office administration is a plus.
Proven experience (5+ years) as a secretary, administrator, or similar role, preferably in construction, engineering, or a related technical field.
Exceptional organizational skills and meticulous attention to detail.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion.
Self-motivated, proactive, and able to prioritize tasks in a fast-paced environment.
Key Responsibilities:
Database & Record Maintenance: Update and maintain organized digital and physical filing systems for all quality records, certifications, and compliance documents to ensure quick retrieval and audit readiness.
Document Management & Control: Prepare, format, file, and distribute all QA/QC documents, including the Quality manual, Standard Operating Procedures, and Standard formats.
Report Preparation & Data Analysis: Assist in compiling data, generating routine quality performance reports, and creating visual dashboards to track key quality metrics and trends
Good command of data analytical tools, including advanced functions in MS Excel (e.g., pivot tables, formulas) and familiarity with data visualization software such as Power BI.
Communication Hub: Serve as the primary point of contact for the QA/QC department, professionally handling phone calls, emails, and inquiries from project teams, subcontractors, and clients.
Administrative Support: Handle general office duties such as ordering department supplies, processing departmental invoices, arranging travel, and maintaining a tidy and efficient office environment.
Meeting & Schedule Coordination: Manage calendars for QA/QC manager, schedule meetings (internal, client, and regulatory), prepare agendas, and take/distribute accurate minutes.
Compliance Support: Assist in tracking audit schedules, renewal of licenses/certifications, and disseminating updated quality manuals or procedures to relevant personnel.
