We are currently looking for a Marine Admin Assistant to support our marine operations and administrative activities. The ideal candidate should be organized, detail-oriented, and capable of handling administrative coordination within a fast-paced marine/offshore environment.
Job Responsibilities:
Provide daily administrative support to marine and offshore operations
Prepare, organize, and maintain marine personnel records and documentation
Coordinate crew mobilization, travel arrangements, accommodation, and logistics
Assist in preparing reports, timesheets, invoices, and operational documents
Maintain filing systems, database records, and document control procedures
Coordinate with vessel teams, clients, suppliers, and recruitment departments
Monitor validity of crew documents, certificates, and licenses
Handle email correspondence, telephone inquiries, and internal communication
Support onboarding and deployment activities for marine personnel
Assist management with scheduling meetings, reports, and operational updates
Ensure all documentation is updated and submitted on time
Support HR and recruitment activities when required
Qualifications & Requirements:
Previous experience in administration, marine, shipping, offshore, or logistics industry preferred
Bachelor’s degree or diploma in Business Administration, Maritime Studies, or related field is an advantage
Good communication and coordination skills
Strong organizational and multitasking abilities
Proficient in Microsoft Office applications (Word, Excel, Outlook)
Ability to work under pressure and meet deadlines
Knowledge of marine documentation and crew coordination is an advantage
Good English communication skills
