Responsibilities:
• Maintain and manage external and internal correspondence logs for the Turnaround Section, ensuring all communications are tracked and closed without backlog
• Retrieve and provide technical documents, standards, and references via QTDMS; manage document control using SharePoint and other document management systems
• Coordinate with lump-sum contractors — prepare Minutes of Meeting (MOM), verify submitted documents, and track contractor requirements including porta cabins and tool containers
• Schedule section meetings, record minutes, and track KPIs, training, and safety records in coordination with the Head of Turnaround
• Process gate pass requests (manpower, materials, vehicles) through the HSEQ Portal
• Ensure strict confidentiality of sensitive documents and follow approval protocols prior to any information sharing
Requirements:
• Technical Diploma or equivalent
• Minimum 5 years of experience as a Technical Documentation Assistant in a Document Control function, preferably in Oil & Gas or Petrochemical industry
• Proficient in MS Office (Outlook, Excel, Word, PowerPoint, Access), Cimage, and Acrobat Professional
• Excellent English communication skills (written and spoken)
• Strong attention to detail with the ability to multitask in a fast-paced environment
