We are looking into hiring and administrative assistant on contract basis.

Only Candidate in UAE will be considered.

Salary is AED 2,000 ALL IN

Key Areas of Responsibilities:
• Maintains workflow by studying methods; implementing cost reductions; and developing reporting procedures.
• Creates and revises systems and procedures by analysing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes.
• Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
• Resolves administrative problems by coordinating preparation of reports, analysing data, and identifying solutions.
• Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
• Provides information by answering questions and requests.
• Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
• Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
• Responsible of the daily logistics relevant to the training department
• Reporting daily the attendance all required documents for CEC department
• Assisting in submitting monthly reports on daily expenses
• Contributes to team effort by accomplishing related results as needed.
• Supervising all needed purchasing for the training department and college
• Communicating with clients to make sure the best customer service is provided
• Responding to emails in less than 24 hours to maintain EIC standards.
• When assisting the reception, calls need to be responded to immediately after 3 ring tones
• Dressed daily in business attire
• Submitting of bills for payments on monthly basis
• Reporting incidents, issues to management for immediate actions
• Keeping records of all expenses of the training department and college
• Reviewing reports from maintenance, housekeepers, kitchen assistants
• Filing of all documents related to the training department (CEC)
• Submitting an inventory of all items purchased
• Reporting and sending emails if cash has been received from students
• No purchasing is to be done without prior approval from the concerned department
• Always presenting the college in the best manner at all times during working hours
• Greeting clients
• Proper storage of files and documentations
• Reporting incoming and outgoing calls, mails, emails daily
• Maintain efficient filing and record systems
• Handling of office purchasing and supplies to all college requirements
• Preparing minutes of meetings
• Tracking all appointments
• Resolving client’s quires
• Preparing attendance on daily and weekly basis
• Documenting all material of training programs
• Handling both written and verbal communication
• Responding via email or telephone before 24 hours
• Assuring quality to all services provided by EIC
• Responsible to amend all manuals as requested by management or client
• Follow up on inquirers
• Follow up on all logistics of the college
• Submit weekly reports to direct manager
