Procurement Officer
Job Location : Abu Dhabi, UAE
Key Responsibilities :
• Prepare and process all procurement documentation, including Purchase Orders, Letters of Credit (LCs), Sub-Contracts, and Appendices.
• Negotiate with vendors on pricing, payment terms, and Incoterms to optimize savings and secure favorable agreements.
• Manage the entire purchase order process, from initiation to vendor release, ensuring data accuracy within the ERP system.
• Coordinate with logistics partners to arrange shipment collection and customs clearance.
• Register vendors in the company system, ensuring all required documentation (including NDAs) is collected and validated.
• Release Purchase Orders (POs) to vendors according to Service Level Agreements (SLAs), based on approved Purchase Requisitions (PRs).
• Maintain comprehensive records of all transactions and suppliers for future reference.
• Track all PRs and POs, ensuring order confirmations are received from vendors and updating Estimated Time of Arrivals (ETAs) in the PO tracker.
• Process assessment forms and sub-contract agreements as needed, ensuring proper documentation is maintained in the shared drive.
• Develop and maintain Procurement schedule reports, providing regular updates to the line manager.
• Build and maintain strong relationships with internal and external stakeholders, including suppliers and various company teams.
• Collaborate effectively with technical, estimation, and logistics teams to ensure a smooth procurement process.
• Resolve material and value discrepancies in coordination with internal and external stakeholders.
• Evaluate vendor proposals, comparing price, quality, delivery speed, and other factors to determine the most advantageous options for the company.
Requirements :
• Extensive experience in procurement of ELV, Fire Alarm, and Firefighting systems within the UAE is mandatory.
• Proven experience in preparing and processing procurement documentation (POs, LCs, Sub-Contracts, etc.).
• Strong negotiation skills and experience in securing favorable commercial terms with vendors.
• Experience with ERP systems and procurement software.
• Excellent organizational and time management skills with the ability to handle multiple tasks simultaneously.
• Strong communication and interpersonal skills, with the ability to build and maintain effective relationships with stakeholders.
• Proficiency in Microsoft Office Suite.
• Ability to work both independently and as part of a team.
