Job Purpose
The Design Document Controller (DC) is responsible for managing, organizing, and maintaining all design-related documentation to ensure accuracy, version control, and timely communication between internal departments, suppliers, consultants, and the main contractor.
The position plays a key role in supporting the design and operation teams in achieving smooth document flow and compliance with project requirements.
Key Responsibilities
Aconex Management – Manage and control all design and technical documents using Aconex.
Ensure all submissions, transmittals, and correspondences are properly filed and traceable.
Operation & Maintenance Manuals – Prepare and compile operation and maintenance manuals for project handover. Ensure all supplier warranties and supporting documents are complete and up to date.
Supplier Coordination for Warranties – Liaise with suppliers to collect, verify, and organize warranty documentation.
Shop Drawing Log Management – Create, maintain, and update the Shop Drawings Log to track submission and approval status. Follow up with relevant teams to ensure timely revisions and resubmissions.
Material Submittal Log Management – Prepare and update the Material Submittal Log to track and monitor all material approvals. Coordinate with the procurement and QA/QC teams to ensure timely submission and compliance.
Official Correspondence and Letters – Prepare official letters and transmittals using proper business and contractual formats. Maintain an organized filing system for all correspondence.
RFI (Request for Information) Management – Prepare, issue, and track RFIs through Aconex. Follow up on responses and maintain updated RFI records.
Coordination with Main Contractor – Coordinate and follow up with the Main Contractor and consultants for pending approvals. Ensure all logs are up to date and reflect the latest document status.
Qualifications & Experience:
Education: Diploma or Bachelor’s Degree or related technical field.
Experience: Minimum 3–5 years in Design / Technical Document Control within the façade, construction, or engineering industry.
Software Proficiency: Advanced knowledge of Aconex (mandatory). Proficient in MS Office (Excel, Word, Outlook) and document tracking tools.
Communication Skills: Strong written and verbal communication in English. Ability to prepare professional correspondence and coordinate with multiple stakeholders.
