Are you a proactive and highly organized individual with a passion for supporting senior executives? We are looking for an Executive Secretary to join our dynamic team!
Key Responsibilities:
– Arrange meetings as per the ED’s proposed schedule, establish MoM and conduct regular follow-ups to ensure its closure.
– Establish project plans, timelines and critical resources in consultation with ED.
– Prepare confidential correspondence, letters, memos, emails, business case reports for DC.
– Compose simple correspondence relating to replies to standard queries from customers and internal departments.
– Maintain files for ED and files all correspondence in the respective files.
– Control stationery of the DC and replenish stock from time to time.
– Attend to phone calls when executives/staff are out on external / customer visits or are busy. Greet screen and direct visitors to the respective department.
– Ensure that the incoming queries & requests are handled in an efficient manner, monitors responses.
– Provide the other Directors a comprehensive information system by maintaining relevant records / statistics.
– Maintain/file independently all the records/correspondence relating to ED’s office.
– Organize functions and entertainment by interacting with internal executives and outside parties.
– Control and operate office equipment by maintaining and operating all office equipment in good condition
Skills & Competencies:
– Administrative/Management skills, ability to successfully manage and motivate departmental staff, check documentation carefully and identify errors.
– Familiarity with standard industry-related documentation, terminology and its interpretation.
– Good communicative and inter-personal skills
– Strong oral and written language skills in English
