The Document Controller is responsible for managing all project documentation, ensuring accuracy, confidentiality, and timely distribution of documents. The role involves maintaining the document control system, overseeing document flow, and ensuring compliance with organizational and project-specific requirements.
Key Responsibilities:
Establish and maintain document control procedures in line with project/client requirements.
Receive, review, and register incoming documents, ensuring completeness and accuracy.
Distribute documents to relevant stakeholders in a timely manner.
Maintain a centralized document management system (electronic and hard copies).
Track document revisions, ensure proper version control, and archive outdated documents.
Ensure confidentiality and security of sensitive documents.
Collaborate with project teams to facilitate smooth document flow.
Prepare reports related to document status, pending actions, and compliance.
Assist in document audits and quality checks.
Manage incoming and outgoing correspondence, including transmittals, RFIs, and reports.
Ensure compliance with document control standards and procedures.
Qualifications & Skills:
Bachelor’s degree or diploma in administration, management, or related field.
Proven experience as a Document Controller or in a similar role.
Familiarity with document management software (e.g., Aconex, SharePoint, Procore).
Excellent organizational and time-management skills.
Attention to detail and accuracy.
Good communication skills.
Ability to work under pressure and meet deadlines.
Knowledge of industry standards and practices related to document control.
