Responsibilities
Quotation Management:
Verify and submit all sales quotations to clients and partners accurately and in a timely manner.
Inquiry & LPO Handling:
Acknowledge and respond to all incoming client inquiries and LPOs promptly, ensuring they are tracked and updated efficiently.
Daily Reporting:
Review daily activities with the General Manager every morning and evening to ensure alignment and progress tracking.
Issue Escalation:
Highlight any unattended or unresolved issues and maintain them on the pending list for prompt resolution.
Office Management & Professional Conduct:
Uphold office discipline, maintain a clean and professional environment, enforce the company’s code of ethics, and ensure sufficient office supplies and resource coordination at all times.
Client & Manufacturer Coordination:
Schedule and manage meetings with clients and manufacturers. Submit requested documentation promptly and follow up as required.
Marketing Collateral:
Coordinate the timely creation and distribution of weekly flyers, newsletters, and other marketing materials as per schedule.
Sales Support & Operational Oversight:
Support the verification and timely completion of sales forecasts, procurement updates, delivery schedules, and job file reviews.
Internal Support & Team Assistance:
Address any special requests from team members promptly and ensure proper internal support.
Qualifications
Strong organizational and time-management skills
Excellent communication and coordination abilities
Attention to detail and ability to prioritize tasks effectively
Proficiency in MS Office tools (Excel, Word, Outlook)
Experience in a similar coordination or operations role is preferred
