The Document Controller is responsible for managing, organizing, and maintaining all project and organizational documents in a systematic and controlled manner. Ensuring document integrity, security, and easy retrieval, the Document Controller plays a vital role in supporting project teams and ensuring compliance with company standards and regulatory requirements.
Key Responsibilities:
Establish and maintain document control procedures and systems.
Receive, review, and register incoming documents (e.g., drawings, specifications, reports).
Distribute documents to relevant personnel and ensure acknowledgment of receipt.
Maintain a centralized document register and tracking system.
Ensure all documents are properly filed, stored, and archived electronically and physically.
Control versioning and ensure that the latest document revisions are accessible.
Assist in preparing document reports and status updates.
Ensure compliance with document control procedures and standards.
Facilitate document review, approval, and distribution processes.
Support audit and quality assurance processes related to document management.
Collaborate with project teams, contractors, and clients regarding document submissions and queries.
Qualifications & Skills:
Bachelor’s degree in Business Administration, Engineering, or related field.
Proven experience in document control or records management.
Knowledge of document control software (e.g., Aconex, EDMS, SharePoint).
Excellent organizational and time management skills.
Attention to detail and accuracy.
Strong communication skills.
Ability to work independently and as part of a team.
