Location: Dubai

Responsible for managing shipping and logistics processes, including documentation, communication and coordination with internal and external parties to ensure the timely and efficient delivery of materials and inventory.

Key Responsibilities:

-Prepare and manage all required shipping documentation, including bills of lading, manifests and storage plans, ahead of inventory arrivals.
-Coordinate with transportation providers to ensure the timely and efficient movement of shipments.
-Communicate carrier information, such as estimated arrival times, to key personnel, including the Warehouse Supervisor or Site Project Manager.
-Work closely with clearing agents to facilitate the swift clearance and delivery of goods to warehouses or project sites.
-Maintain accurate shipment records and share updates with the Logistics and Warehouse Manager.
-Arrange special shipping solutions as needed to meet specific project requirements.
-Collaborate with project teams, clients, consultants and subcontractors to ensure seamless operations.
-Prepare and process final disbursement account documents, including expense summaries, and provide cost estimates to the accounts department.
-Provide required documentation to carriers and logistics operators to prevent delays.
-Utilize government portals for shipping clearance and compliance, ensuring accurate and timely submission of required data.
-Assist the Logistics Manager in generating reports, including daily discharge summaries, and handle ad hoc requests from vessel operators or owners.
-Manage the renewal of company vehicle registrations and drivers’ duty schedules and shifts.

Qualifications & Requirements:

-Degree/Diploma in Business Administration or a related field.
-Mandatory experience in the Interior Design Fit-out or Construction industry.
-Familiarity with UAE import/export regulations and customs clearance processes.
-Hands-on experience using government portals for shipping clearance and documentation.
-Strong organisational, time management, and problem-solving skills.
-Proficiency in preparing shipping documentation and managing accounting entries.
-Candidate must be currently available within the UAE.
-Holding a valid UAE driving license is an add-on.
